Dear Mayor, Council and Department Heads,
In preparation for our Strategic Plan Priority Session on February 24, 1 want to provide you with
some information about the 2019-2020 Plan priorities that we are currently implementing.
To help guide you through this process, I will be including the following documents for your
reference:
Example Report: This document is intended to represent the plan elements and how
each Goal, Action Item and Tactic is numbered. Please keep in mind that every Goal has
multiple Action Items but currently, not every Action Item has a Tactic.
Report for Each Goal (10 total): These documents have three distinct sections to
represent the current plan status, based on previously selected priorities.
o The first section is intended to represent the Goal Title and the "Overall
Summary', which indicates how many Action Items are associated with the
specific Goal and the current completion status of the Goal.
o The second section in the "Plan Summary" which is intended to represent the
Action Items associated with the specific Goal. Action Items that contain
"Status" information will have Tactics associated with them. Action Items that
only have the description, do NOT have active Tactics.
o The third section is the "Tactic Update History" which is intended to represent all
the planned and executed activities associated with each Tactic. This
information is included as reference only so you can review what efforts have
already taken place.
To clarify the requested action from our previous meeting, let me give some direction to what
input we need from each of you. The following are suggested steps to help guide you through
this process:
1) Review the Strategic Plan to become familiar with the 10 Goal areas.
2) Review the Action Items selected for each Goal area. (Each Goal has a different number
of Action Items)
3) Review the detailed Tactic description and history to understand what actions have
been planned / executed to date.
4) Determine what priorities (ideas / plans / topics / goals) are important to you as an
Elected Official or Department Head. There is no right or wrong here, but it will be
helpful if you can determine items that "fit" inside the current plan structure. (it is okay
if your priorities align with 2019-2020 items)
5) If possible, select what Goal and Action Items that best reflect your chosen priorities
and assign your priority to that category.
6) To allow for a better discussion on the 24th, I would like to get your responses back by
the 22nd and I will attempt to summarize the information. This effort may point to a
trend in Goals / Action Items that point to a consensus amongst us.
7) Be prepared to represent / discuss your chosen priorities during the meeting on the
24th
I don't anticipate that we leave the meeting on the 24th with clear priorities determined. It is
likely that more research and discussion will be required to determine the needed resources,
financial impacts, intended outcomes and CommUNITY benefits for each idea.
